View Full ProjectThe brief
Harbor Creative developed an illustrative conference-planning concept for a large-scale North Carolina Main Street gathering. The project explores how an approximately 800-attendee conference could be planned as one connected experience—from the first registration touchpoint through venue operations, programming, networking, awards, emergency planning and post-event reporting. Rather than approaching the event as a collection of individual sessions and deliverables, the concept creates a complete operating and experience framework connecting strategy, creative, logistics and execution.
Objective
Explore how an approximately 800-attendee civic conference could be planned as one cohesive experience, aligning storytelling and attendee engagement with the practical operations required to execute a complex event.
The approach
The concept began with the attendee journey and worked backward into the systems required to support it. Harbor developed the creative direction, venue-flow strategy, registration experience, program structure, sponsor environment, attendee materials, production requirements, staffing model, logistics framework, budget controls, risk planning and measurement strategy as interconnected components of one event. The planning process also considers the less-visible elements required for execution—including freight and receiving, staging areas, insurance, medical coordination, emergency response, contingency planning, vendor management, staff communications and post-event reporting.
